Description

Purpose of Position:  Assist Director of Finance and other accounting staff members with general accounting and support in all areas of accounting and special projects, as needed. Coordinate and assist in receiving and shipping of guest and hotel items and products, as requested.

Responsibilities:

  • Respond to all guest requests quickly and efficiently.
  • Communicate with appropriate staff to resolve guest accounting issues and requests.
  • Review chargeback information and credit card inquiries and review with appropriate staff.
  • Anticipate guest, vendor and accounting needs and assist in solving problems.
  • Scan new vendor requests, W9 information and coded invoices.
  • Answer phones and voicemail and greet guests and associates as needed.
  • Monitor shared mailboxes for accounts payable and accounts receivable.
  • Oversee assigned A/R accounts for posting, billing, and collection.
  • Oversee and/or coordinate direct billing with assigned company staff.
  • Sort and route departmental mail.
  • Count and record daily cash deposits and variances.
  • Prepare deposits for armored car.
  • Count house banks with assigned employee or witness.
  • Maintain record of house funds and contracts for issued banks.
  • Coordinate BEOs, resumes and related information for accounting team.
  • Track and record income audit source documents such as F&B tickets, dry-cleaning and miscellaneous items.
  • Assist with tracking and reconciling tax-exempt certificates and reports.
  • Monitor shipping/receiving items with guest or hotel package receipt.
  • Monitor and receive assigned deliveries.
  • Develop and maintain an atmosphere that welcomes and demonstrates willingness to work with all guests, employees, vendors, managers and shared service staff.
  • Performs other duties, projects and responsibilities as assigned

Requirements:

  • Hotel accounting, front office or clerical experience preferred.
  • Good working knowledge of accounting and computer systems, including PMS/POS.
  • Good interpersonal skills with verbal and written communication skills.
  • Extreme attention to detail and accuracy with numbers.
