Marcus Hotels & Resorts seeks an experienced executive administrative assistant to join our team. This role will support the Managing Director at The Pfister Hotel. We seek applicants that possess great poise and professionalism along with a strong career history of working in an executive administrative assistant role, ideally supporting and reporting directly to a Managing Director for a Full Service Luxury Hotel or VP/Senior Executive for a Hospitality Company.
This role will be responsible for:
· Managing daily schedule to include additions and changes to calendar as needed
· Monitoring and managing Outlook mailboxes
· Planning, scheduling and organizing complex activities such as meetings, conferences and other miscellaneous projects/events
· Managing travel schedule including flight and other transportation arrangements
· Interfacing effectively with onsite executive committee members, corporate executives and internal/external customers at all levels
· Creating and/or developing written, verbal and/or visual presentations
· Preparing correspondence and miscellaneous reports
· Expediting the flow of work to ensure all deadlines are met and follows up as needed with onsite executive committee members, corporate executives, customers and other external industry contacts
· Maintaining files and follow-up system for department correspondence, including handling and prioritization of mail
· Processing invoices and expense reports timely thru appropriate systems
· Assisting with miscellaneous inquiries and requests from public via website, email or phone
· Communicating and coordinating duties with other onsite coordinators to include providing backup support as needed
· Performing all duties in accordance with the Code of Conduct and in a discretionary and confidential manner
· Tracking report generation and timely distribution by various departments, groups and entities
· Managing technology resources and support
· Coordinating activities with internal and external marketing and PR offices
· Various other projects and related tasks as assigned
The select candidate will possess a great attitude and a friendly and team oriented demeanor. Other job requirements include:
· High School diploma required; Bachelor’s Degree could prove helpful to consideration and execution of duties
· Minimum 5-7 years related administrative experience supporting senior executive/s
· Substantial and demonstrated poise, tact and diplomacy
· Excellent written and verbal communication skills
· Master level skills in Microsoft Word, Excel and PowerPoint
· Comfortable with and able to learn and master technology and software applications as required
· Ability to organize, prioritize and handle multiple time-sensitive tasks with discretion in an environment that may prove demanding at times
· Detail orientation in composing, typing and proofing materials
· Ability to work independently with minimal direct supervision
· Flexibility with work hours will be required at times
· Proven project management and problem solving abilities
